One Zoho Cliq channel per use: who receives what
The rule that holds over time: one channel per use. A single channel where everything lands quickly becomes unreadable, and the team ends up muting it.
- Leads. New incoming request, lead created, quote ready to approve. This channel is read by the salespeople.
- Operations. Quote accepted, order to prepare. This channel is read by those who produce or deliver.
- Finance. Payment received, invoice settled, supplier invoice filed. This channel is read by accounts and by the business owner.
Each person follows only the channels that concern them. The salesperson does not see supplier invoices go by, and the accountant is not disturbed by every new request.
Each message fits on one line and says what to do: the customer's name, the event, the expected action. For example: "Quote accepted, order to prepare", followed by the customer's name. Whoever reads it knows at once whether it is for them.
Avoiding message overload in Zoho Cliq
Too many messages, and nobody reads any more. That is the main risk, and it is dealt with from the start with four rules.
- One event, one message. The same quote does not trigger three alerts in three channels.
- No message without an action. What is merely good to know stays in the dashboard.
- Urgent messages kept apart. An anomaly must not get lost between two lead requests.

Do we have to change software?
