The basics

Understanding what an AI collaborator is, no jargon

5 questions
What's the difference between an AI collaborator and a simple automation tool? +

An automation tool follows a rigid scenario: if X happens, do Y. That's useful, but limited. An AI collaborator combines automation and intelligence: it can understand context, adapt its responses, learn from your corrections, and make decisions within a defined scope.

Concrete example: an incoming email is analyzed by the AI to understand its urgency and intent, then the right action is triggered (reply, follow up, alert, file) without human intervention. Your collaborator doesn't just follow a rule, it understands what it needs to do.

Is this for me if I'm not tech-savvy? +

Absolutely. You don't need to understand how your collaborator works technically, just like you don't know how your CRM works under the hood, yet you use it every day.
You explain your processes and pain points. We build and deploy. We train your team to run the collaborator through the app and the dashboard. No tech background required.

How long before the first results? +

The first measurable results arrive by day 30 after implementation starts. The full cycle (from the discovery call to an operational collaborator) takes 3 to 6 weeks depending on the complexity of the offer chosen:

  • STRUCTURER: operational in 2 to 3 weeks
  • FLUIDIFIER: operational in 3 to 5 weeks
  • TRANSFORMER: phased rollout over 4 to 8 weeks
Could this disrupt my current organization? +

No, and that's precisely why our method starts with a Training step before deployment. Your team understands what the collaborator does, how to validate, and when to step in.
The rollout is gradual: we start with the most targeted process, validate it, then expand. Your AI collaborator comes with alerts, a real-time dashboard, and direct access through the app. You stay in control at all times.

02

Our method

Audit, Training, Implementation, Follow-up: the AI consultancy's 4 steps

5 questions
How does the free discovery call work? +

The discovery call lasts 30 minutes, by video. We map out your operation: team, tools, task volume, most time-consuming processes. Then we determine which offer fits your stage and what your AI collaborator would concretely do from day 30.

At the end of the call, you leave with an offer recommendation, a summary of the AI levers identified, and an initial ROI estimate. No obligation to go further.

What's the point of the Training step before deployment? +

Most AI projects fail because teams don't know how to work with the systems deployed. We built Training in as a step of its own, before Implementation.

In 2 hours, your team learns how to read the dashboard, run the collaborator through the app, and when to validate or step in. Result: when your collaborator starts, your team is ready. No friction, no resistance.

What does the monthly Follow-up involve? +

Follow-up is a step in the method, not an option. It includes:

  • Automatic weekly report: tasks executed, results, alerts
  • 45-minute monthly check-in: cumulative ROI, areas for improvement, next steps
  • Weekly improvements based on real data
  • Support through the app, response within 4 business hours
Your AI collaborator gets better every week. Its ROI grows with it.
How much time do I need to spend on the rollout? +

We designed the method to minimize your workload. In practice, plan for:

  • Audit: 30 min
  • Training: 2 hours
  • Implementation: 1 hour/week over 2 to 4 weeks (check-ins + tests)
  • Follow-up: 45 min per month
Less than 6 hours total for the rollout, then 45 min/month. The rest, your collaborator handles it.
What happens if the results don't show up? +

We don't deploy anything without having quantified the expected ROI with you. If your AI collaborator doesn't deliver the results we defined together, we keep working on it at no additional cost until it's right.

We always start by defining measurable indicators: hours freed up, tasks executed, leads qualified, reports generated. If it's not measurable, we don't promise it.

03

Technical & Integrations

Stack, compatibility, security, no jargon

5 questions
What tools do you use? +

Our main stack includes:

  • Workflow automation: Make (formerly Integromat), n8n, Zapier
  • AI: OpenAI (GPT-4o), Anthropic Claude
  • Databases & management: Airtable, Notion
  • CRM & emailing: HubSpot, Pipedrive, Brevo (formerly Sendinblue)
  • Productivity: Google Workspace, Microsoft 365
  • Communication: Slack, Microsoft Teams
  • Payment: Stripe
We always choose the tools best suited to your context, not the tools we prefer.
Does this integrate with my industry-specific software? +

Very likely, yes. The vast majority of modern professional software has an API or a native connector. We've already integrated dozens of industry-specific tools:

  • ERP: Sage, Cegid, SAP
  • HR: Lucca, BambooHR, Factorial
  • Accounting: QuickBooks, FreshBooks, Pennylane
  • E-commerce: Shopify, WooCommerce, PrestaShop
  • And also: booking tools, job site management, medical practice software, legal tools…
If your software has no API, we find alternatives (webhooks, structured scraping, automated export/import).
Do I need an in-house developer? +

No. We deliver everything turnkey: the system works, it's documented, and your team is trained to use and monitor it. You don't need to know how to code to adjust basic settings (edit a message, change a simple condition).

For deeper changes, we're there as part of the included support. Our goal is for you to be as self-sufficient as possible on day-to-day management.

What happens if a tool we use changes or shuts down? +

It's a fair question and we think about it from the design stage. We avoid creating single dependencies on one tool. When possible, we use open-source tools (n8n) that you can host yourself.

For SaaS tools, we document each scenario precisely so we can migrate quickly to an alternative. If a tool changes significantly (API overhaul, shutdown, price increase), we step in as part of support at no extra cost to adapt the system.

Are your systems secure and GDPR-compliant? +

Yes, security and GDPR compliance are built in from the design stage, not added as an option. Concretely:

  • Personal data only passes through services hosted in Europe or covered by compliant transfer mechanisms (standard contractual clauses)
  • We apply the data minimization principle (we only process what's necessary)
  • Access is secured (tokens, OAuth, secrets vault)
  • We can provide you with documentation for your GDPR processing register
  • On request, we can carry out a data protection impact assessment (DPIA) for sensitive processing
04

Offers & Commitment

The three offers, ROI, flexibility: everything about your commitment

5 questions
Why aren't prices listed? +

Because every AI collaborator is tailor-made for your operation. Two SMBs in the same sector can have radically different needs in terms of processes, volume, integrations, and the level of autonomy desired.

Showing a fixed price would force us to sell you a standard solution, exactly what we refuse to do. The discovery call lets us understand your context and offer you the plan suited to your stage. Price ranges are shared from the first call.

Is there a minimum commitment? +

No. Our services come with no minimum term imposed. For one-off projects, we bill on delivery. For ongoing support, we work on a monthly basis with no forced tacit renewal.

You can stop at any time with a simple 15-day notice for ongoing engagements. We'd rather you stay because you get value from it, not because you're locked in.

How does it work if I want to stop? +

Simply and without friction. An email or a message is enough. No cancellation fees, no penalties. We hand over all the documentation, access to every tool deployed, and run a handover session so you or your team can manage things on your own from there.

Everything we built belongs to you. We keep no access after the engagement ends unless you explicitly ask us to.

What's the typical ROI of a deployed AI collaborator? +

ROI varies depending on your operation, but here are real examples:

  • A consulting firm eliminated 18 hours of monthly admin on client onboarding → ROI measured from day 30
  • A training organization increased its session capacity by 40% without hiring
  • A construction SMB cut 6 hours of weekly reporting and now detects delays in real time
  • An active AI collaborator produces on average ×4.7* the capacity of a regular employee on its tasks
* Average observed on structured tasks. Results vary by business. Every ROI figure is calculated with you before deployment and measured monthly in your follow-up report.
How do I choose between STRUCTURER, FLUIDIFIER and TRANSFORMER? +

The three offers correspond to three stages of organization:

  • STRUCTURER: you have 5 to 30 people, one priority time-consuming process to cover, and want a first AI collaborator up and running quickly
  • FLUIDIFIER: you have 20 to 100 people, several interdependent processes (operations + customer relations + management) to coordinate
  • TRANSFORMER: you manage a group of 100+ people, several entities or sites, and want to orchestrate operational intelligence across the whole organization
If you're not sure, the discovery call is made for that : we'll recommend the right offer after a 30-minute call.
05

Sectors & Real-world cases

Who we work with and what an AI collaborator concretely does in your sector

4 questions
What type of organization is BenIT AI consultancy made for? +

We work with SMBs and structured companies that have operational processes with a high volume of repetitive tasks. Sectors where we've already deployed:

Consulting firms · Construction · Training organizations · Insurance · Real estate · Healthcare · Legal · Holdings and multi-site groups · Agencies · Structured workshops and tradespeople

Every AI collaborator is architected for your specific line of work. We don't build generic solutions.

What tasks are most often handed to an AI collaborator? +

The most commonly deployed missions:

  • Processing incoming documents: invoices, quotes, mail filed and forwarded without intervention
  • 24/7 lead qualification: every prospect analyzed, scored, and answered with a personalized message
  • Client and supplier follow-ups: no unpaid invoice, no follow-up forgotten
  • Report generation, weekly and monthly, sent automatically
  • Quote creation from a voice brief or a form
  • Competitive monitoring summarized every week
  • LinkedIn content, newsletters ready for approval
  • Cross-collaborator coordination (for FLUIDIFIER and TRANSFORMER)
How does day-to-day communication with my AI collaborator work? +

Your AI collaborator contacts you directly through the dedicated app, like a real team member. You get notifications when a validation is required, when an anomaly is detected, or when it needs an instruction. You can also write to it directly from the app and follow all its activity in real time.
You reply in a few words, it executes. It has contextual memory: it remembers your preferences, your business rules, your past instructions. Tone and autonomy level are calibrated from the Implementation phase.

Is my AI collaborator GDPR-compliant? +

Yes. GDPR compliance is built in from the design stage, not added as an option. Concretely:

  • Personal data only passes through services hosted in Europe or covered by compliant transfer mechanisms
  • Minimization principle applied: we only process what's necessary
  • Secure access (tokens, OAuth, secrets vault)
  • Documentation provided for your GDPR processing register
  • Impact assessment (DPIA) available on request for sensitive processing
06

Real estate & Construction

Prospect follow-ups, job site tracking, automatic quotes, real-world cases for agencies and construction companies

5 questions
How can a real estate agency automate prospect follow-ups? +

An AI collaborator continuously monitors incoming requests (contact form, real estate portals, email), scores each prospect by urgency and project, then triggers a personalized follow-up by email or SMS within 5 minutes of the request.

Result: no hot prospect goes cold over the weekend or on public holidays. Initial qualification (property type, budget, purchase timeline) happens automatically before your agent even makes the first call. Agencies that deploy it multiply their contact rate by 2 to 3.

Can AI handle viewing appointment scheduling for a real estate agency? +

Yes. The AI collaborator syncs your agents' availability, offers time slots to the prospect directly by email or SMS, confirms the viewing, sends a reminder 24 hours before with the address and property details, and collects post-visit feedback.

All without manual work. Your agents end up with a full, organized calendar without having spent an hour on the phone coordinating. Compatible with Calendly, Google Calendar, Outlook.

How can a construction business owner automate quotes and invoices? +

The AI collaborator receives a job site brief (from a form, an email, or a voice note), generates a pre-filled quote in PDF format based on your price list, submits it to you for one-click approval, then sends it to the client. After signature, it creates the progress invoice, tracks payments, and triggers unpaid-invoice follow-ups automatically.

No more forgotten quotes, no more late invoices, no more manual follow-ups. Construction businesses save 8 to 12 hours of admin work per week.

Can AI detect job site delays and alert the owner in real time? +

Yes. The AI collaborator cross-references data from your job site tracking tool (schedule, time tracking, material orders) and sends an alert as soon as a significant gap is detected between planned and actual progress. It can also generate the weekly job site report automatically from field entries and send it to the project owner.

You're alerted before the delay becomes a problem, not after.

How can you manage several job sites at once without hiring an extra site manager? +

With the FLUIDIFIER offer, the AI collaborator orchestrates several processes in parallel: progress billing tracking, subcontractor follow-ups for documents (Kbis business registration extract, vigilance certificate, ten-year insurance), job site dashboard updates, alerts on critical deadlines.

You get a consolidated view of your entire activity without daily manual entry. A 15-person construction SMB can run 20 simultaneous job sites with a single AI collaborator.

07

Healthcare & Private practices

Appointments, no-shows, billing, GDPR compliance, for medical practices, lawyers, notaries and regulated professions

5 questions
Can AI handle appointment scheduling and patient reminders for a medical practice? +

Yes, and it's one of our most commonly deployed missions in healthcare. The AI collaborator handles online appointment booking 24/7 (synced with your Doctolib calendar or internal calendar), sends an SMS + email reminder on day -2 and day -1 to reduce no-shows, and automatically collects the pre-appointment health questionnaire.

Practices that deploy it see a 35 to 60% reduction in missed appointments, meaning several lost hours recovered every week.

How can AI automation reduce no-shows in a dental or medical practice? +

The AI collaborator sends an automatic sequence of reminders: confirmation on day -7, reminder on day -2, SMS reminder on the morning of day -1 with a quick confirm-or-cancel link. In case of a late cancellation, it automatically offers the freed-up slot to patients on the waiting list.

Practices typically go from 18-20% no-shows to under 5% within 30 days. On 50 appointments a week, that's 6 to 8 extra consultations recovered.

Are GDPR compliance and medical confidentiality respected for a healthcare practice? +

Absolutely. All our healthcare deployments are designed in strict compliance with GDPR and medical confidentiality:

  • Patient data only passes through servers hosted in Europe (HDS-certified hosting if required)
  • No medical data is stored without encryption and full traceability
  • Documentation for your GDPR processing register is provided
  • A DPIA (data protection impact assessment) is carried out for sensitive health data processing
Can a lawyer or notary hand administrative tasks to an AI collaborator without confidentiality risk? +

Yes, with a suitably compartmentalized architecture. The AI collaborator handles administrative tasks (file tracking, client follow-ups for missing documents, billing, meeting summaries) without access to sensitive case materials. Access rights are precisely defined from the design stage.

Several law firms and notary offices have entrusted us with their management processes. The AI touches the administrative envelope, never the substance of the case.

How can a self-employed healthcare professional automate billing and unpaid-invoice follow-ups? +

The AI collaborator monitors your billing software (Doctolib, Sephira, Cegedim, Axisanté…), detects billed procedures that haven't been paid, sends a first courteous follow-up on day 15, a second on day 30, then alerts you for a decision. It can also check pending reimbursements from Social Security and supplemental health insurers.

Self-employed practitioners recover on average 8 to 10 hours of admin per month thanks to this automation.

08

Retail, E-commerce & Restaurants

Google reviews, bookings, customer service, loyalty and inventory management, AI serving physical and online stores

5 questions
How can a restaurant or store automate responses to Google reviews? +

The AI collaborator monitors your Google reviews in real time, writes a personalized response for each review (positive or negative) in line with your tone and values, and submits it to you for approval before publishing, or publishes directly if you prefer.

You respond to 100% of your reviews without spending 30 minutes a day on it. Google favors businesses that respond consistently: your local visibility score climbs as a result.

Can AI handle bookings and reminders in a restaurant without specialized reservation software? +

Yes. The AI collaborator centralizes bookings from multiple channels (email, web form, Google, Instagram DM), updates a real-time schedule, sends automatic confirmations and reminders on day -1, and handles cancellations by offering new slots.

It can also alert staff when heavy traffic or a group booking is expected. Compatible with most POS and restaurant scheduling tools.

How can an online store automate customer service and returns? +

The AI collaborator processes incoming emails (« where's my order », « I want a refund », « wrong size »), checks your e-commerce CMS (Shopify, WooCommerce, PrestaShop), generates the appropriate response and updates the order record. For return requests, it creates the shipping label, updates inventory and notifies the warehouse.

E-commerce SMBs save on average 15 to 20 hours a week on customer service, with no drop in customer satisfaction, quite the opposite.

Can AI re-engage inactive customers and run a loyalty program for a local shop? +

Absolutely. The AI collaborator segments your customer base (active, dormant 90+ days, VIP), triggers personalized win-back campaigns by email or SMS with an offer targeted to purchase history, and tracks conversions in real time.

It can also automate birthday emails, post-purchase offers, and referral programs. This level of personalization used to be reserved for large chains with a dedicated marketing department.

How can stock-out alerts and restocking be managed automatically? +

The AI collaborator monitors your stock levels in real time (via your ERP, POS software, or e-commerce connector), alerts you as soon as an item drops below the critical threshold, automatically generates the supplier purchase order for approval, and updates availability on your e-commerce site or Google listing.

No more surprise stock-outs, no more duplicate orders, no more “sorry, out of stock” sent to a customer after payment.

09

HR, Training & Service agencies

Onboarding, recruitment, training organizations, marketing & consulting agencies, AI for service businesses with heavy administrative load

5 questions
How can a training organization automate enrollments, invitations, and learner tracking? +

The AI collaborator manages the entire administrative journey of the training: receiving the enrollment request, checking funding (OPCO, CPF, Qualiopi), sending the agreement and the invitation, reminders before the session, collecting digital attendance sign-offs, generating the attendance certificate and the training completion certificate.

It can also follow up with funders for OPCO reimbursements. Training organizations that deploy it process 3 times more files without hiring.

How can an SMB without a dedicated HR department automate resume pre-screening and candidate responses? +

The AI collaborator analyzes incoming resumes against your job posting criteria (skills, experience, location, salary expectations), assigns a score to each candidate, sends a personalized acknowledgment within 5 minutes, schedules interviews for shortlisted candidates and sends a courteous rejection email to those not selected.

Your business owner or HR manager focuses on interviews, not sorting. Processing in 10 minutes vs. the usual 2 to 3 days.

Can AI handle the administrative onboarding of a new employee in an SMB? +

Yes. As soon as the contract is signed, the AI collaborator automatically triggers the onboarding process: collecting HR documents (bank details, ID, health insurance), creating software access, sending the welcome handbook, scheduling mandatory training sessions, reminding the manager about key milestones (medical checkup, probation period, 3-month review).

The new employee gets a structured experience from day one. The HR team saves 4 to 6 hours per hire.

How can a marketing, consulting, or architecture agency automate monthly client reports? +

The AI collaborator automatically collects data from your tools (Google Analytics, Meta Ads, CRM, project tracking sheets), compiles it into a PDF report formatted to your agency template, adds a written summary with key points and recommendations, then sends it to you for approval before it goes to the client.

Agencies go from 3 hours per report to 20 minutes of review. For 10 clients, that's 25 hours a month recovered, the equivalent of a half-time position.

Can AI create and publish social media content for an SMB with no communications team? +

Yes. The AI collaborator generates a weekly editorial calendar (LinkedIn, Instagram, Facebook) based on your news, your offers, your SEO keywords, and the editorial line defined together, writes the posts with suggested visuals, submits them to you for a quick review, then schedules publication at the optimal times according to the algorithm.

It also analyzes performance and adjusts topics based on actual engagement. 6 to 8 hours of editorial work per week that you get back, with a more consistent digital presence than a full-time community manager.
