Supplier stock: every list in one Zoho Sheet, no retyping

Every stock list your suppliers send can end up in a single Zoho Sheet, written the same way, with nobody retyping anything. On the installations already running, the finding is the same: no data entry, and an availability answer given while the customer is still on the phone.

Supplier stock lists: what happens today

Each supplier sends stock in its own way. One attaches an Excel file. Another sends a PDF. A third pastes a table into the message. None of them uses the same columns or the same words.

So someone copies these lists into a shared table, when there is time. The table is out of date by the next morning. And when a customer calls about a reference, the person who picks up reopens several emails before answering, or promises to call back.

  • Data entry takes time from the person who knows the products best.
  • A half-copied list gives a wrong stock level, and so a wrong answer to the customer.
  • Nobody knows which version of the table is the right one.

Customer requests also arrive by email: see the article on inbound emails turned into prospects in Zoho CRM.

One Zoho Sheet for all your suppliers

The result fits in one sentence: one sheet, every list, up to date. Your team opens it like any other Zoho Sheet. They filter it by site, by condition or by supplier.

You start from what you already have. No migration, no change of habit. Your suppliers keep sending their lists as before, in the format that suits them. They see no difference.

Lists written the same way: the point that changes everything

Gathering the lists is not enough. If one supplier writes a depot name in full and another shortens it, the sheet shows two different places for one depot. The site filter then misses half the lines. The total is wrong, and nobody sees it.

So each piece of information is brought down to a single spelling before it enters the sheet: the site, the product condition, the reference, the price. The list of these spellings is built with you. You are the one who knows that two names mean the same depot.

A line the AI cannot match to that list is set aside and flagged. It does not enter the sheet with a guessed value. A pending line takes a minute to deal with. A wrong line costs a sale, or a promise you cannot keep.

How it works, in four steps

  1. Your supplier sends the list as usual, in Excel, as a PDF or in the text of the message.
  2. The AI reads the list and picks out, for each product, the reference, the condition, the site and the price.
  3. Each line is rewritten in your words, then added to the shared sheet.
  4. Your team looks at the sheet, or asks a question in plain English, and gets the answer.

The other uses available around your account are presented on the page AI and automation on Zoho.

The answer during the customer call, and what stays in your hands

A clean sheet opens a second use. Your colleague asks the question as they would ask a co-worker: "is reference X available at this depot?". They get the answer while the customer is still on the line.

The quality of the answer comes from the quality of the sheet. An assistant looking at a table where the same site is spelled three ways answers with confidence, and gets it wrong. That is why the single spelling comes before everything else.

The principle is the same as everywhere else: the AI prepares, you approve. The assistant answers your colleague, never the customer directly. Your colleague is the one who confirms availability, states the price and commits the company.

  • You decide the words used in the sheet: site names, conditions, references.
  • You choose which suppliers are followed and which are not.
  • You deal with the lines set aside, which stay visible until they are settled.

The rules to set when an AI writes in your tools are detailed in the article on safeguards for an AI in Zoho CRM.

When it is worth it, and what comes next for the whole company

The setup makes sense when you receive lists from several suppliers, when they change often and when your customers ask about availability by phone. With one supplier and one list per quarter, typing it by hand remains reasonable.

Stock is rarely the only place where emails get copied into a table. Invoices follow the same path, as shown in the article on supplier invoices filed in Zoho WorkDrive. So do quotes, follow-ups and inbound requests.

A wider audit reviews the whole company: where the time goes, what the AI can prepare, what must remain a human decision. The conversation lasts thirty minutes, it is free and carries no commitment. The process is described on the method page, and the plans on the pricing page.

Frequently asked questions

Do suppliers have to change the format of their lists?

No. We start from what your suppliers already send: Excel, PDF or a table in the message. The differences in format are absorbed before anything reaches the sheet. Your suppliers see no change.

Do we have to change software?

No. The sheet is a Zoho Sheet, in the account you already use. Your team keeps its habits, it simply stops retyping.

What happens if the AI misreads a stock line?

A line that matches nothing known is set aside and flagged, it does not enter the sheet. During the first weeks, your team compares a few received lists with the sheet. This spot check builds trust.

Can the assistant answer the customer directly?

That is not the choice we make. The assistant answers your colleague, who confirms to the customer. Nothing goes to a customer without human approval, least of all a price or an availability.

How long does the setup take, and how much does it cost?

The setup takes 2 to 6 weeks, with a single point of contact. The cost depends on the number of tasks taken over and the number of suppliers followed. The free 30-minute audit is there to put a figure on it.
