AI on Zoho: measuring what it brings in, day after day

To know what an AI linked to Zoho brings in, measure the real duration of the tasks it takes on, value those hours at the hourly cost of the job concerned, and display the total in euros day by day. The gain then becomes a figure you follow, not an impression.

"We save time" does not say what an AI on Zoho brings in

The sentence comes up in every equipped company: "we save time". It is sincere, and it is useless for deciding. It does not say how much, on which task, or whether the installation is worth what it costs.

An AI assistant linked to Zoho does precise tasks: preparing a quote, completing a prospect record, filing a document. Each one took a certain time before, and takes another after. The difference can be measured.

One real finding is the starting point here. On the installations already running, a Zoho Books quote is ready to approve in about 2 minutes, instead of 20 to 40 minutes. Everything else in this article is a method, to apply with your own figures.

The method for measuring the gain, in four steps

The method rests on one multiplication: hours saved by an hourly cost.

  1. List the tasks given to the AI: quotes, prospect records, searches, filing.
  2. Record the real duration of each task before, watch in hand, then after, review and approval included.
  3. Take the hourly cost of the job that used to do the task, which your accountant can give you in a few minutes.
  4. Count the number of tasks handled each day, and display the total in euros.

Two details. A duration estimated from memory is almost always wrong: ten real measurements are worth more than a recollection. And the team enters nothing. Every quote prepared, every record completed, every document filed is already visible in Zoho. The count starts from there.

Example calculation, to adapt to your company

The figures below are a fictional example, to be adapted. They describe no real company and are not a promise. They only show how the calculation is set out, for one day, with an hourly cost assumed at 35 euros.

Task (fictional example)Number in the dayTime saved per taskHours savedValue at 35 euros an hour
Zoho Books quote prepared628 minutes2.8 h98 euros
Prospect record completed in Zoho CRM125 minutes1 h35 euros
Information search415 minutes1 h35 euros
Document filed203 minutes1 h35 euros
One quote redone by hand130 minutes lostminus 0.5 hminus 17.50 euros
Total for the day5.3 h185.50 euros

In this fictional example, the quote goes from 30 minutes to 2 minutes, so 28 minutes saved. The rework line is subtracted, it is not forgotten. Replace each number with yours: the number of quotes per day, your measured durations, the hourly cost of the person who used to do the task.

An honest gain: what had to be redone by hand does not count

A gain figure only convinces if it stands up to a question from a partner or an accountant. Three rules make it solid.

  • A task that is redone brings in nothing. If the person redoes the quote, the gain on that quote is zero, and the time lost is deducted.
  • Approval time is counted. The AI prepares, you approve: two minutes of review are still two minutes of work.
  • A useless task does not count. A report nobody reads saved no hours, even if it was produced in ten seconds.

The quality of the AI's work also weighs in this calculation: customer records that need cleaning cost hours. The article on safeguards for an AI that writes in Zoho CRM covers this point.

The gain displayed day by day, and what stays in your hands

The figure has to be visible without effort. It is displayed on a dashboard, in Zoho, where your team already works. A useful dashboard has three blocks:

  • the gain for the day and the running total for the month, in euros;
  • the detail by type of task, to see which ones pay;
  • the number of tasks redone by hand, to see which ones do not help.

Reading it daily is what sets it apart from an annual review. A task whose gain drops to zero for a week points to a problem the same day: a quote template that changed, a source of prospects that dried up, an instruction to revise.

The same total can also arrive every morning in the team's messaging, as described in the article on messages sent to the team in Zoho Cliq.

The measurement decides nothing for you. You set the hourly cost of each job, you choose which tasks are counted, you stop the one that brings in nothing. For a rare task, done twice a month, a one-off reading is enough.

From the measured gain to the next automation, across the whole company

Once displayed, the gain becomes a management tool. The dashboard shows where the AI pays, where it does not help, and so where to invest next.

If quotes account for most of the gain, the logical next step is around the quote: for example the Zoho Books quote created from a button in Zoho CRM. If a task brings in little, you stop it without regret.

To judge profitability, compare the monthly total with the monthly cost of the installation. The BenIT pricing page presents the plans. Frequently asked questions

Which hourly cost should be used to calculate the gain from an AI?

That of the job that used to do the task, not a company average. It includes salary and employer contributions, divided by the hours really worked. For an owner who is not on the payroll, take the hourly cost you already use in your quotes.

Should revenue won thanks to the AI be counted?

No, not in this calculation. A quote sent faster may be signed more often, but the link is hard to prove. The method sticks to time saved, which can be measured and checked.

Is software needed on top of Zoho?

No. The AI's work is already visible in Zoho, and the dashboard is displayed there, depending on your plan. The team enters nothing and changes no habit.

How long does the setup take, and how much does it cost?

The setup takes 2 to 6 weeks, with a single point of contact. The cost depends on the number of tasks taken over. The free 30-minute audit is there to put a figure on it.
