A hand-written plumbing quote takes forty-five minutes on average, not counting travel time. What you bill for it never covers the time you actually spend on it.
To check that, you have to run the numbers. Not compare software products against each other. Compare what your current method costs you with what a different approach would cost. That's what this article does, figure by figure.
If you're already writing your quotes in Word, on paper, or in a spreadsheet you'd rather not use, this thirty-minute conversation will run the numbers on your real figures. If not, you'll walk away with a method to do it yourself.
To walk through every step of automating tradesperson quotes, this guide runs the same calculation for other trades. Automating quotes and invoices as a tradesperson
How much time do you really spend on a quote?
Writing time isn't just typing in the line items. It includes looking up supplier prices, re-entering customer details, checking compliance, sending, waiting, following up. It all counts.
Average time per plumbing quote, broken down
| Step | Time | Cost at €22/h |
|---|---|---|
| Looking up supplier prices | 10 min | €3.70 |
| Entering line items and contact details | 15 min | €5.50 |
| Checking compliance and legal notices | 8 min | €2.90 |
| Formatting and sending | 7 min | €2.60 |
| Follow-up if no response | 5 min | €1.85 |
| Average total | 45 min | €16.50 |
This forty-five-minute total corresponds to a standard quote, neither complex nor simplified. According to industry studies, it ranges from thirty minutes for a routine repair to an hour for a full installation. The €22 fully loaded hourly rate matches the French average for a plumbing tradesperson, all costs included. This figure comes from Insee data on construction trade incomes, updated in 2024.
The exact formula for pricing out your manual quote
The formula is simple. It comes down to three things you already know.
Cost of a quote = Fully loaded hourly rate × Number of minutes spent ÷ 60
How much your quotes cost you
Thirty minutes to run the numbers on your real figures, no strings attached.
Message on WhatsAppWhat the formula doesn't yet capture is opportunity cost. Every hour spent on a quote is an hour not spent on a job site, and therefore not billed at your service hourly rate. That's the invisible part.
Your real cost per manual quote
Fully loaded hourly rate (€) × Time spent (min) ÷ 60 + Unbilled job site margin (€)
€22 × 45 min ÷ 60 + €35 of sacrificed job site margin = €51.50 per quote
Redo the math with your own numbers.
The third term, sacrificed job site margin, depends on your service hourly rate. Expect between 30 and 40 euros of lost margin for forty-five minutes not spent out on the job.
Applying it: what it costs depending on the size of the business
Three profiles, three volumes, three realities. The calculation stays the same, the consequences change.
Annual cost of manual quoting by small business profile
| Profile | Quotes per month | Unit cost | Annual cost |
|---|---|---|---|
| Solo tradesperson | 8 | €51.50 | €4,944 |
| Small business, 3 employees | 20 | €51.50 | €12,360 |
| SMB, 8 employees | 45 | €51.50 | €27,810 |
A solo tradesperson handling eight quotes a month is therefore losing nearly five thousand euros a year on quote writing alone. An SMB with eight employees goes past twenty-seven thousand euros. These figures don't include quotes never sent, pricing errors, or forgotten follow-ups.
On these same volumes, the breakdown of automation in construction shows how construction businesses recover part of this time.
What this cost adds up to over a year
Five thousand euros for a solo tradesperson is equivalent to:
- Two weeks of unbilled revenue
- Three years of paying for plumbing management software
- The net margin on four to six average jobs
- A down payment on a work van
That's not a negligible cost. It's a cost you're paying without seeing it, because it's scattered across your evenings and weekends.

What quoting software changes, and what it doesn't

A conversation to identify your most costly task, with a precise figure attached.
Block off thirty minutesPlumbing quoting software cuts down on data entry time. It doesn't eliminate checking, the customer relationship, or custom pricing.
What each option covers
| Criterion | Manual quote | Plumbing quoting software | AI collaborator |
|---|---|---|---|
| Data entry time | 45 min | 15 min | 5 min |
| Human review | Yes | Yes | Yes |
| Automatic follow-ups | No | Sometimes | Yes |
| Job report | No | Sometimes | Yes |
| Annual cost | €5,000 to €28,000 | €300 to €1,200 | Monthly subscription |
| Tool migration | No | Often required | No |
Good quoting software saves time on data entry. It generally requires migrating your data and an initial setup. The AI collaborator, on the other hand, reads your emails, extracts the information, writes the quote from your current software, and follows up with customers without you changing your habits.
The invisible cost: quotes never sent, and mistakes
The calculation above only counts quotes that got written. It leaves out quotes that were started and then abandoned for lack of time. It leaves out quotes sent with a pricing error or a missing legal notice.
The error or omission rate in manual quotes that don't get proofread runs at around fifteen percent. Out of a hundred quotes, fifteen contain some kind of discrepancy. Some will cost you a job, others a discount given just to smooth things over.
How to get this time back without changing your tools
Getting time back on quotes doesn't have to mean buying software. There are three possible paths.
- Plumbing quoting software: it cuts down data entry, but requires setup and migrating your data.
- Outsourcing: a third party writes your quotes for you, but you lose responsiveness and control.
- The AI collaborator: it works from your inbox and your business software, with no migration, no heavy training, and monthly oversight.
Run the numbers on your own business
Pull up your last ten quotes, time how long you actually spent on each one, then apply the formula from this article. The result will tell you whether it's worth pursuing.
Book the free auditThe first third of this article let you run the numbers on your real figures. If the amount comes out above fifteen thousand euros a year, the thirty-minute conversation with an outside perspective is worth having.
A BenIT client running a training organization cut its admin work from twenty hours a week to two after deploying an AI collaborator. Its session capacity grew by forty percent with no new hires.
Quotes aren't your only bottleneck. Job reports, unpaid-invoice follow-ups, invoicing: they all follow the same logic of unbilled time spent. The method stays the same. Identify the most time-consuming task, put a number on what it costs, then choose the tool that takes it over without stripping you of your trade.
