Service Reports: The Complete Method in 10 Minutes

A service report is written on site, not in the evening in front of the TV. Here's the complete method, the one a consulting firm usually bills for, to wrap it up in ten minutes and never again leave a job with no record or invoice.

Why the report goes out the same day

The report isn't an administrative document, it's the starting point of the invoice. Three concrete consequences when it drags on:

  1. the invoice goes out late, and the payment deadline runs from the invoice, not the job;
  2. the client disputes it, and you have no dated details to respond with;
  3. the warranty starts with no proof of what was found on the day.

By evening, you've forgotten half of it. By morning, you're already gone. The only reliable way: close the file before getting back in the vehicle.

What to note down during the job

Five items, not one more, jotted down as you go:

  1. arrival and departure time, to the minute;
  2. the reason for the call, in the client's own words;
  3. the findings: what you found, with the reference number;
  4. the work done, one line per task;
  5. what's left to do, and who's doing it.

Note it on your phone, not on a notepad found three days later. A thirty-second voice note does the job if your hands are full.

The standard eight-line template

The report fits on one page. The exact template, to copy as is:

The three traps that make writing it up take longer

  • Describing the diagnosis in three paragraphs: one line of findings is enough.
  • Trying to redo it all from memory in the evening: that's when the hours get mixed up.
  • Waiting for a purchase order by mail: an on-site signature counts as acceptance.

How much does an evening-written report cost

Run the numbers at your own scale. Say ten minutes on site, versus forty-five in the evening to reconstruct everything.

For five technicians doing two jobs a day, the gap adds up to about thirty-five minutes per person per day, or nearly three hours per technician per week. At an average hourly cost of around forty euros, that's billable hours going into re-entering data instead of into revenue. Writing the report on site doesn't just save time. It gets the invoice out the same day, which moves up payment by that much.

When to hand it off

As long as you have one or two technicians, the eight-line template can be filled in by hand. Once volume rises, once reports start piling up without being invoiced, or once you're losing more than five hours a week catching up on them, the task becomes worth delegating. Frequently asked questions

Is a service report mandatory?

No law requires it as such, but it serves as evidence in a dispute and it triggers invoicing. Without a dated written record, a dispute over the work done rarely gets settled in your favor.

What if the client refuses to sign on site?

Note the refusal in the line provided and send the report by email the same day. A dated proof of sending is worth almost as much as a signature.

Is a voice note enough as a starting point?

Yes, for collecting information in the field. It then needs to become a written document the same day, otherwise it loses its value as dated evidence.

Do you need specialized software?

No. A document template and eight lines are enough to start. Software only becomes useful once volume makes manual re-entry costly, a call you can make based on the pricing page.
